Global Medical Conference

The Brief

This is our client’s ‘flag ship’ international conference on the subject of Diabetes.  Including keynote presentations from world-leading experts, extensive workshop programme, exhibition and networking opportunities, this is a ‘must-attend’ meeting for 650 senior clinicians and nurses from across the globe.

Our task was to project-manage the organisation and delivery of the event and with such a large, high-profile event, there are many client stakeholders and agency partners providing expert input on a wide range of subjects from programme content & speaker management to CMA accreditation iPad provision, theming & decor and AV production.

Our Solution

After winning the tender for this project, the andel’s Hotel in Berlin was secured for the event, providing a modern, contemporary venue in an easily accessible destination.

We deployed a dedicated, experience project team, including account director, project managers & administrative expertise to ‘live and breathe’ the project from start to finish.

Well planned site inspections enabled each service provider to prepare their inputs in a considered and timely manner, particularly in the areas of logistics, AV production, iPad deployment and security.

We organised weekly Webex calls with all stakeholders & partners, with agendas circulated in advance and minutes/actions circulated immediately afterwards to ensure that all parties understood their deliverables and how they impacted the overall event programme.

As this meeting was attended by healthcare professionals from around the globe, accurate data capture and ToV reporting was a critical component of the project, all of which was managed through our web registration and delegate management platform.

For such a large event with detailed clinical data being presented, the AV solution was of critical importance so we deployed 2 x 15m super-widescreen blended projection systems to ensure that delegates could clearly see all of the presentation content.  The same high quality format was deployed on a smaller scale in the various breakouts as required.

Our team immersed themselves in the project, liaising continually with the client, venue and delegates as well as drawing together the wide-ranging requirements and ensuring each was covered – either directly by ourselves or by expert partners.

The same team deployed on-site to manage the event delivery, coordinating venue logistics & ground transportation, AV production, iPad provision, venue branding & decor and most importantly assisting the 650-strong audience to ensure that each was well looked after throughout their stay.

The Outcome

“A brilliant success!” was the client’s response and indeed it was.  The leadership from our team, combined with clear direction & decision-making from the client team and expert delivery by key professional partners both pre-event and on-site resulted in the completion of a truly outstanding event – all of which was backed up by delegate feedback which rated top-scores across nearly every parameter.
