The Brief

This is an important biennial event which we’ve been running for a number of years on behalf of a major international medical association.

This is a “must-attend” event for senior registrars in this therapy area who aspire to progress to consultant positions in key clinical centres and our task is to handle all of the event management responsibilities on behalf of the organising faculty.

A highly academic and educational tone resonates throughout the meeting and this needs to be reflected in both the venue and all the meeting branding and collateral.

Oxford University provides the perfect backdrop for this event.

Our Solution

Oxford University provides the perfect backdrop for this event, reflecting its academic nature, whilst providing excellent, inexpensive accommodation, meeting and function space. Delegates travel from throughout the UK to attend the meeting and they are accommodated in high quality, en-suite bedrooms, all conveniently located in one of the university’s main college campuses. The university’s fully equipped auditorium is an excellent setting for the formal academic lectures, with breakout rooms provided in close proximity to support a programme of optional specialist workshops.

In addition to all of the pre-event coordination & delegate communication, Activate creates and produces all of the meeting materials including the collation and editorial management of a 600-page compendium of the latest Epilepsy clinical trial data. On site, we take care of all of the delegates’ needs, working closely with the venue regarding all accommodation, meeting and function requirements. We also collate and manage all of the meeting content, liaising with speakers to ensure that all slides are received in good time for their presentation to facilitate the smooth transition between speakers and sessions.

The Outcome

In short, a very satisfied client with whom we are privileged to enjoy a long-standing relationship which has been developed over time based on partnership and trust. We have already secured the venue for the event in 2017 and work on the programme commences in the second half of this year.
